Voice-Over Coaching One-on-One Sessions – Terms and Conditions – Published September 2023
- Payment for each one-on-one coaching session must be made via Stripe within 5 working days after the session has been scheduled. A late payment fee will apply if this payment is late of 10% of the session fee. If payment is still unpaid by 30 days, we will apply statutory late fee charges from then on.
2. Clients have the option to cancel their scheduled coaching session up to 24 hours before the confirmed session time without incurring any additional charges.
- Cancellations made within 24 hours of the confirmed session time will result in a fee equal to half of the session fee. This fee is applied due to the difficulty in filling the time slot at short notice.
- Coach’s Right to Reschedule:
We want to inform our clients that, while we are committed to providing coaching sessions as scheduled, there may be rare occasions when the coach must reschedule a session due to last-minute professional commitments or unforeseen circumstances. In such cases, every effort will be made to accommodate our clients’ needs and schedules.
If the coach needs to reschedule a booking session, we will prioritise rescheduling at the client’s earliest convenience. We understand the importance of consistent coaching, and we will make every effort to ensure that any rescheduled session fits seamlessly into your schedule.
We greatly value our clients’ commitment to their coaching journey and will do our utmost to minimise any disruptions caused by rescheduling. Your understanding and flexibility in these exceptional situations are greatly appreciated.
Please rest assured that such instances are rare and will be communicated to the client as promptly as possible, along with proposed rescheduling options.

4. Failure to attend a scheduled coaching session without prior notice will result in the full session fee being charged to the client.
5. All scripts provided during the coaching sessions are intended for class-based work and learning purposes only. Clients are prohibited from reproducing, distributing, or sharing the scripts elsewhere without prior written consent.
6. Requests for rescheduling a coaching session must be made at least 24 hours in advance and are subject to the availability of the coach.
7. The coach will make every effort to provide a productive and valuable coaching experience. However, the coach does not guarantee specific results or outcomes from the coaching sessions.
8. Clients are responsible for being prepared for the coaching sessions, including completing any assigned tasks or practice exercises.
Termination of Services:
9. The coach reserves the right to terminate coaching services if a client’s behaviour or actions are deemed inappropriate or disruptive to the coaching process. In such cases, no refunds will be provided.
Changes to Terms and Conditions:
10. These terms and conditions may be subject to change at the discretion of the coach. Clients will be notified of any changes in advance.
Acceptance of Terms:
11. By scheduling a coaching session, clients acknowledge that they have read, understood, and agreed to these terms and conditions.

Refund Policy for Completed Coaching Sessions:
We want to clarify that there is a strict no-refund policy in place for coaching sessions that have been completed. Once a coaching session has been conducted and completed, your payment for that session is non-refundable, except as explicitly mentioned in these terms and conditions.
We understand that unforeseen circumstances may arise, but due to the time and commitment involved in conducting coaching sessions, we are unable to provide refunds for sessions that have already taken place. This policy applies regardless of the reason for requesting a refund after a session has concluded.
We encourage clients to carefully consider their coaching needs and scheduling commitments before booking and attending coaching sessions. If you have any questions or concerns about this policy, please feel free to reach out to us for clarification before booking your coaching session.
By proceeding with the booking and payment for a coaching session, you acknowledge and accept our no-refund policy as stated above, which specifically applies to completed coaching sessions.
Voice Reel Booking Terms and Conditions
Booking and Payment:
- A 20% non-refundable deposit is required upfront to secure your booking date for a voice reel session.
- The remaining balance of the fee is due the evening before your scheduled studio session. Studio sessions cannot go ahead if payment isn’t made by this deadline, this applies until payment is made.
3. Voice reel bookings are refundable (excluding the non-refundable deposit) up to 5 days prior to the booked studio session date. This policy is due to studio fees that must be paid in advance.
- If you need to rearrange your booking within the 5-day period, we will make our best effort to accommodate your request, but we cannot guarantee availability.
- Cancellations made within 48 hours of the booked studio session will result in a charge equal to the full voice reel fee. This charge is necessary to cover pre-booking studio costs.
6. Failure to attend a booked studio session without prior notice will result in the full payment of the voice reel package.
7. Scripts provided by us for your voice reel are not to be reproduced, distributed, or used elsewhere.
- Copyright of character reel scripts written by our writer, Shahan Hamza, remains his property and cannot be produced elsewhere other than with V.O. Gym.
Ownership of Commercial and Narration Scripts:
V.O. Gym does not claim ownership of the commercial and narration scripts provided for voice reel production. These scripts are sourced and selected specifically for the client’s use in creating their voice reel.
- Clients are responsible for ensuring that they have the necessary permissions and rights to use the commercial and narration scripts in their voice reel production.
- V.O. Gym does not take responsibility for any copyright issues or infringements that may arise as a result of using these scripts in the voice reel production process.
- Clients are advised to seek legal counsel or guidance if they have concerns or questions about copyright issues related to the scripts they choose to include in their voice reel.
By engaging in voice reel production services with V.O. Gym, you acknowledge and accept that V.O. Gym does not own commercial or narration scripts and is not responsible for any copyright issues associated with their use.
Fair Usage Copyright Law:
It’s important to note that many countries have provisions for “fair use” or “fair dealing” in their copyright laws. These provisions may allow for the limited use of copyrighted materials for purposes such as criticism, commentary, news reporting, teaching, scholarship, or research.
In the context of voice reel production, the use of short excerpts from commercial or narration scripts for the purpose of showcasing your voice-over abilities may fall under the category of fair use, depending on your jurisdiction. However, the specifics of fair use can vary from one jurisdiction to another, and it is ultimately the responsibility of the client to determine whether their use of scripts complies with applicable copyright laws.
Delivery and Storage:
9. We aim to deliver your finished voice reel clips within a week after your recording date.
- You will receive each clip in separate MP3 files, as well as a combination of voice reels (e.g., commercial, narration, and character). If you require WAV formats of the clips, please inform us, and we will provide those as well.
- Clips will be stored on our database for up to 6 months. Please ensure that you back up the files on your own devices and storage, as we do not guarantee long-term storage.
Tweaks and Revisions:
12. We are happy to make tweaks to your clips to better suit your preferences and can reorder reels upon request. However, we limit this to two re-tweak sessions per clip. Please review your clips thoroughly before finalising your tweak requests.
- Tweaks must be submitted to us within two weeks of receiving your clips.
14. We reserve the right to use voice reels produced by us for marketing purposes, including promotion on social media and our website. We will always ask your consent if wanting to share your name. You name will not be shared with the clip if you do not want it to be.

Coach’s Right to Reschedule for Voice Reel Recording Sessions:

We greatly appreciate our clients’ commitment to their voice reel projects and will make every effort to keep disruptions to a minimum. Rest assured that such situations are rare and will be communicated promptly, along with proposed rescheduling options.

VO On The Go Subscription Service – Terms and Conditions
- VO On The Go is a subscription service offered by V.O. Gym, providing clients with scripts and video feedback to enhance their voice-over skills. The subscription options are as follows:
- Weekly Subscription: £15 per week.
- 4-Weekly Subscription: £45 per four weeks, which includes a free week.
Script Delivery and Feedback Process:
2. As part of the subscription service, V.O. Gym will send clients 2-3 scripts each week, covering various aspects of the voice-over industry (e.g., commercial, documentary).
- Clients are responsible for preparing and recording the provided scripts. Clients may use any recording method of their choice, including smartphone voice recording apps.
- Completed recordings must be submitted to V.O. Gym by midday on the Saturday of the same week. Late submission of clips may delay feedback.
- Video feedback will be provided to clients on the following Sunday, offering valuable insights and guidance to improve their voice-over skills.
Payment and Invoicing:
6. Payment for the VO On The Go subscription service is non-refundable.
- Invoices for the subscription service will be sent to clients after each subscription period (weekly or 4-weekly).
- Payment for the subscription is due within five working days after the invoice is received. Failure to make payment by the specified deadline may result in the pausing of the subscription or non-delivery of feedback until payment is received.
9. All scripts provided by V.O. Gym through the subscription service are strictly for the client’s personal use and training purposes. Clients are prohibited from sharing or reproducing these scripts anywhere else.
Video Feedback Confidentiality:
10. Video feedback provided by V.O. Gym is confidential and intended solely for the client’s personal use and improvement. Clients are prohibited from sharing video feedback on social media or any other public platform.
Coach’s Right to Reschedule Feedback:
11. While we are committed to providing timely feedback, V.O. Gym reserves the right to change a feedback date on rare occasions due to last-minute professional commitments or illness. Clients will be promptly informed of any necessary changes.
